Guest Services Coordinator (Part time)

Serving individuals of all ages, races, cultures, and artistic abilities across the MetroWest region, the HCA develops artistic skills, offers outstanding artistic performances and exhibitions, and enables visitors to experience art in all forms. Under one roof, we celebrate art through classes and events in visual art, theater, music, dance, ceramics, writing, and film.

Job Summary: (Approximately 25 hours a week in the afternoon and evening - flexible)

Perform a wide range of administrative and office support activities for HCA staff and facilitate the efficient operation of the organization.

Main Job Tasks and Responsibilities (including by not limited to)

·  Oversee the HCA Membership program, look for opportunities to increase membership, add value to membership program, etc.

·  Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately. Answering, screening and forwarding incoming phone calls.

· Design and implement a strategy to sustain a vibrant and effective volunteer program. Oversee the logistics of matching up volunteers to projects and events.

· Add/Edit to the HCA’s email correspondence system, i.e. Constant Contacts

· Process class registrations, box office ticket requests, art sales, etc.

·  Oversee material inventory and ordering for HCA programming. 

· Research and develop proposals for programs, classes, events that align with HCA's values and mission to be an inclusive experience for all ages.

· Assist as needed with projects and events.

Key Competencies

·  Experience in arts and/or non-profit organizations a plus!

· Computer skills and knowledge of relevant software

· Knowledge of operation of standard office equipment.

· Customer service orientation and communication skills - written and verbal

· Problem assessment and problem solving and attention to detail.

· Flexibility and adaptability and teamwork

· Teamwork
