Class Policies

& Information

We are committed

The HCA is committed to fostering an environment that is free of racism, discrimination, and harassment. All individuals are treated with respect and dignity, contribute fully, and have equal opportunities. All persons working or associating with our community of The Hopkinton Center for the Arts are expected to uphold and abide by our Code of Conduct.

Refunds of program fees will be offered in full if requested two weeks prior to their start date. Please make the request in writing by emailing info@hopartscenter.org. Families are asked to consider donating a portion of their fees to the HCA to help with the ongoing activities and operational support. If a cancellation/withdrawal is made less than two (2) weeks prior to the start of the session, the tuition fee is non-refundable.

Refund Policy

Updated and effective as of April 5, 2022.  

​Student cancellations for any courses must be made at least 2 weeks prior to the first class meeting are eligible for a full refund.  All cancellation requests must be submitted in writing via email to the Administration Office at info@hopartscenter.org.

​No refunds or credits will be given for student absences nor for student cancellations made less than 2 weeks prior to the start date of the session.  No refunds or credits will be given for none illness related student absences.  The Hopkinton Center for the Arts will attempt to provide one make-up class if the canceled class day is instructor or weather related, and if enrollment and schedules allow. 

The Hopkinton Center for the Arts reserves the right to cancel any class or workshop due to insufficient enrollment up to 2 business days prior to the scheduled start date of an offering.  When a course or workshop is canceled by the Hopkinton Center for the Arts, a full refund will be issued.

The HCA's standard cancellation policies as listed above, students must submit their email requests to cancel a registration within the specified cancellation deadline detailed above to be eligible for a full refund. Once a cancellation deadline has passed, no exceptions will be made.

Workshop Registrations: Students are eligible for a full refund for workshop registration if they email the office 2 weeks prior to the start of the workshop. 

Cancellation Related to Illness: Students are eligible for a full refund for workshop registration if they meet both of the following conditions:

1. They must email the office of their illness or COVID cancellation/absence PRIOR to the scheduled start time of the workshop.  No requests will be honored if you have not emailed the office before the course start time.
2. They must then provide the office with emailed documentation of a doctor's note or of the positive COVID test once the result is received, before a refund will be processed.

Student Cancellations

The Hopkinton Center for the Arts reserves the right to cancel any under-enrolled class, to change instructors when necessary and to reschedule individual classes as needed. Every effort will be made to contact students and parents of these changes.

If possible, classes cancelled due to teacher absence or weather will be made up at the end of the term, or at a mutually agreed upon time. There will be no refunds for weather-related closings.

Class Cancellations

In the event of inclement weather, the HCA will announce cancellations in two phases: An announcement on the homepage will be made to cancel morning classes by early morning.  A announcement about afternoon and evening class cancellations will be made by 12 noon.

 

If possible, one class cancellation, due to weather, will be made up at the end of term. Additional class cancellations due to weather will be considered acts of nature and will not be made up. Weather cancellations will not be refunded.

Inclement Weather 
& School Closings

As an arts community, we are moving forward with cautious optimism. We ask that everyone exercise personal responsibility when it comes to making decisions about safely gathering for in-person public events. Masking is still recommended for individuals who are unvaccinated or immune-compromised.

Please do not attend class or come into the HCA if you are ill, have tested positive for COVID-19 or exhibiting symptoms of COVID-19.  In the event that you are ill and are no longer able to attend class, please notify the Administrative Office immediately via email at info@hopartscenter.org

COVID-19 & Multi-week Registrations: Students are eligible for a pro-rated (tuition-only) refund or credit of the week(s) of a multi-week class that they missed provided that they have notified the Administrative Office in a timely manner via email (info@hopartscenter.org) of their intended absence(s) from class and can provide documented proof of a recent positive COVID test or a doctor's note. Timely notification is defined as advanced notice of each absence in writing via email prior to your class start time. Late notifications will not be considered eligible. Your absence(s)/attendance will be cross-checked with your instructor before your credit can be processed. NO exceptions will be considered for requests made after the class session has completed.  

COVID 
Protocols

Students are occasionally photographed or filmed during classes for promotional purposes. Names are not used. By enrolling yourself or your child in a HCA class, you grant permission for you and/or your child to be photographed or filmed for this purpose. You must notify the HCA office in writing regarding any restrictions.

The Hopkinton Center for the Arts will call 911 in the event of a serious medical emergency. If you would like the HCA Staff to know any information regarding your allergies or health issues, please see the school office staff.

Emergencies

Parents are responsible for the timely arrival of students to classes/lessons, and are required to stay with the student until the class/lesson begins, and to pick up the student immediately after the class/lesson ends. Please be advised that the HCA does not provide supervision for students outside of their scheduled class or program.

Please Notify the HCA or instructor if the parent/guardian is going to be late, or if the child will not be coming to class. There is a charge for late pick-ups of $10 for every 15 minutes. Late fees must be paid prior to the start of the next class date.

Discounts

Hopkinton Center for the Arts accepts Mastercard, Visa, Discover, and American Express. Students can register online or in person during office hours or by phone at (508) 435-9222. Payment must be made at registration. To register for a class in progress please call the office.
